About Cadi

Cadi is business management software for cleaning businesses, operated by Cadi Software Ltd (company number 17174156, registered in England and Wales, registered office Unit 4, Grovelands, Hemel Hempstead HP2 7TE). Cadi Connect, the part of Cadi where facilities companies find and work with cleaning businesses, is part of the same service. These terms govern your use of Cadi. By creating an account you agree to them.

Contact us at support@cadi.cleaning with any questions.

Early access

Cadi is opening to cleaning businesses in small groups. While it does, new accounts are by invitation from the waitlist. Joining the waitlist doesn’t create an account, and we may decide who is invited and when.

Some features appear in Cadi marked “Soon”. They are not part of the service until they are released, and we may change or drop them.

The service

Cadi provides tools for running a cleaning business, including customer records and import, job scheduling, invoicing, a service menu and pricing, money tracking from uploaded bank statements, a tax set-aside estimate, staff management and a monthly plan for your business.

Cadi is software, not a tax adviser, accountant or lawyer. Figures such as profit, tax set aside and plan values are estimates based on the information you give it. If you are unsure about your tax position, consult a qualified accountant.

Cadi does not currently submit anything to HMRC, and it does not currently connect to your bank directly. Bank data comes only from statements you choose to upload. If we add either of these, we will update these terms and ask for your authorisation before anything is sent or connected.

Your account

You must be at least 18 years old and provide accurate information when creating an account. You are responsible for keeping your login credentials secure and for all activity under your account.

One account is permitted per business. You may not share your account with third parties. If you add team members, you are responsible for what they do in your account.

Plans and payment

Cadi is available on the following plans:

  • Lite — free. Up to 30 customers, with scheduling, invoicing, your service menu and a walk through your last six months of bank statements.
  • Pro — £39 a month. Up to 500 customers and 5 staff, three years of history, weekly money reports and the 90 day plan.
  • Max — £79 a month. Unlimited customers and up to 10 staff.

Cadi Connect is included on every plan, including Lite, at no charge.

Paid plans are billed monthly in advance on the same date each month via Stripe. Cadi Software Ltd is not currently VAT-registered, so no VAT is charged on your subscription.

You may cancel at any time from Settings. Cancellation takes effect at the end of the current billing period, and no refunds are issued for partial months. If you move to a plan with a lower customer or staff limit, you will need to be within that limit.

We may change our prices with at least 30 days’ notice by email. Continued use after a price change takes effect constitutes acceptance.

Cadi Connect

If you use Cadi Connect, facilities companies and managing agents that you work with, or that find you, can see your business details, your compliance documents and their dates, your Cadi Score, and the work they have given you. They cannot see your other customers, your prices, your invoices, your bank statements, your staff or your reports.

Your Cadi Score is built from what happens in your account, such as jobs logged, visits checked in, invoices paid and compliance kept current. You must not try to inflate it with false or misleading information. We may adjust a score, or remove a business from Connect, where we believe it has been manipulated.

Work you agree with a facilities company through Connect is a contract between you and them. Cadi is not a party to it, does not guarantee any volume of work, and is not responsible for either side’s performance or payment.

You are responsible for making sure the documents you upload are genuine, current and yours to share.

Direct debit collection (GoCardless)

If you enable direct debit collection from your customers, payments are processed by GoCardless (FCA FRN 597190). Your customers contract directly with GoCardless for the payment service. Cadi facilitates set-up and reconciliation but is not the payment processor.

You are responsible for: ensuring you have your customers’ explicit authorisation to collect by direct debit, providing accurate descriptions of the goods and services charged for, and handling any disputes or refunds in line with the Direct Debit Guarantee.

AI-generated content

Some Cadi features use artificial intelligence to generate text, suggestions or summaries, including the onboarding assistant, the service builder, statement categorisation, money insights and your monthly plan. AI output can be incorrect, incomplete or out of date.

You are responsible for reviewing AI-generated content before relying on it, particularly for anything sent to a customer or used as a financial record. Cadi is not a substitute for professional tax, legal or accounting advice.

Your customers’ and staff’s data

When you add customers or staff to Cadi, you are the data controller for their personal data and Cadi is your data processor. This means:

  • You must have a lawful basis under UK GDPR for collecting and using their data
  • You are responsible for issuing your own privacy notice to them
  • You must handle their data subject requests (access, deletion, etc.) — Cadi will assist when asked
  • Cadi will process their data only on your documented instructions, in line with our Data Processing Agreement (available on request)

Acceptable use

You must not use Cadi to engage in fraud, record false or misleading information, send messages your customers have not agreed to receive, violate any applicable law, or attempt to access other users’ data.

We may suspend or terminate accounts that breach these terms without notice.

Data and privacy

Our Privacy Policy explains how we collect and use your data. By using Cadi you agree to that policy.

You can export your data from Settings at any time.

Availability and changes

We aim to keep Cadi available at all times but cannot guarantee uninterrupted access. We may update, modify or discontinue features with reasonable notice.

We will give at least 30 days’ notice before discontinuing the service entirely, during which time you can export your data.

Limitation of liability

To the fullest extent permitted by law, Cadi and Cadi Software Ltd (company number 17174156) are not liable for any indirect, incidental or consequential loss arising from your use of the service, including loss of profit, loss of work or penalties charged by third parties as a result of relying on estimates or information in Cadi.

Our total liability to you in any 12-month period is limited to the subscription fees you paid in that period. Nothing in these terms limits liability that cannot be limited by law.

Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Changes to these terms

We may update these terms from time to time. We will notify you by email of material changes. Continued use of Cadi after changes constitutes acceptance.
